ONLINE PRIVACY STATEMENT

University of Oregon Government and Community Relations (UOGCR) is committed to respecting individual privacy and collects no personally identifiable information about you unless you affirmatively choose to make such information available to us.  The purpose of the UO Advocates website is to inform supporters of the University of Oregon about the UO’s work at the federal state and community levels and encourage supporters advocate to engage directly with lawmakers on topics that could impact the UO.  Individuals may choose whether or not to provide information to University of Oregon (UO) through this website.  By choosing to use this website, you agree to our collection and use of personal information and non-personal information as described in this online privacy statement.  This online privacy statement governs only the use and disclosure of information collected through this website.

Collection of Information: This website collects the following information about you:

• Name
• address
• Email address
• phone number
• email, text and other electronic messages between you and us
• action taken via UO Advocates to engage with lawmakers
• automatic information collected by the browser such as cookies and source IP addresses.

Use of Information Collected: We will only use your personal data on a lawful basis to fulfill a legitimate interest of the UO. UO GCR may use information collected from your visit to this website to: 

• Manage and improve the user experience and preferences associated with this website and UOGCR;
• Foster further communications and manage your subscription(s) to UOGCR; [publications/listserves/etc.];
• Invite UO advocates and Oregonians such as you (upon request) to events that may be of interest to you;
• Optimize and personalize your online interactions with the UOGCR;
• Identify anomalies in web traffic in order to help protect personal and UO institutional information; and
• Exercise the UO’s legal rights, defend against legal claims, or respond to subpoenas, court orders, or other legal processes.

Disclosure of Sharing of Information: UOGCR does not now, nor will it in the future, sell, rent or lease any of its visitor lists and/or names to any third parties.  UOGCR may use a third party service providers or suppliers to facilitate this website or the services UOGCR provides.  Those third parties will have access to your name, address, and phone number] in order to fulfill their contractual obligations to UO.  UOGCR may also provide your information to third parties in circumstances where we believe that doing so is necessary to satisfy any applicable law, regulation, legal process or governmental request; detect, prevent to otherwise address fraud, security, or technical issues; or protect our rights or safety and the rights and safety of our users and others.  Furthermore, because UO is a public institution, it may be required by law to disclose information pursuant to applicable state, federal, or international laws.  This includes, but is not limited to, the Oregon Public Records Law, ORS 192.311 to 192.478.

Information Protection: The UO strives to protect information through the implementation of appropriate technical and administrative control measures that aligns with security best practices and the evolving threat landscape. However, please note that no method of transmission over the Internet or method of electronic storage is 100% secure.

Family Educational Rights and Privacy Act (20 U.S.C. § 1232g ): UO also complies with the Family Educational Rights and Privacy Act (“FERPA”), which as a general matter prohibits the release of students’ education records with prior written consent.  However, UO may release student directory information, or student education records if allowed or required by FERPA.  For more information about FERPA, please contact the Office of the Registrar.

Children or Minors: UO does not knowingly collect personal information from children or minors as defined by the Children’s Online Privacy Protection Act on this website.

Retention: UO will retain your data for at least the minimum required retention according to applicable portions of UO’s Records Retention Schedule.

Opting Out: By providing us with your email address (including by “following,” “liking,” linking your account to the Services, etc., on a third party website or network), you consent to our using the email address to send you Service-related notices, including any notices required by law, in lieu of communication by postal mail. You also agree that we may send you notifications of activity on the Service to the email address you give us, in accordance with any applicable privacy settings. We may use your email address to send you other messages or content, such as, but not limited to, newsletters, additions or changes to features of the Service, or special offers. If you do not want to receive such email messages, you may opt out by emailing us your request at [email protected]. Opting out may prevent you from receiving email messages regarding updates, improvements, special features, announcements, or offers. You may not opt out of Service-related emails.

You may be able to add, update, or delete information as explained above. When you update information, however, we may maintain a copy of the unrevised information in our records. You may request deletion of your account by emailing us at [email protected].

Additional Rights You May Have Regarding Your Data: By operating this generally available website, UOGCR has no intention to, does not knowingly offer services or otherwise process any information from, data subjects residing in the European Economic Area.  However, out of caution, please note that applicable laws may give you additional rights to request access to, or to request the erasure, correction or transfer of, your data.  For example, the European Union’s General Data Protection Regulation (EU GDPR) provides certain rights to persons who were/are residing in the European Economic Area when their data were/are collected.  If the EU GDPR applies to your data then you may ask to see your data or request, to the extent allowed by law, to have your data corrected or erased. You may also object to or request restrictions on how your data will be processed.  You may ask that your data be forwarded or transferred to another organization.  Finally, to the extent allowed by law, you may withdraw consent you have given to certain data processing, without penalty. If you do decide to withdraw consent at a later date, your withdrawal will not affect the legality of the processing of your data up to that point.
